What does automating customer service actually mean?

It is not a menu with fixed buttons. An AI assistant reads the question the way the customer types it, looks for the answer in the sources you approved and replies in plain language. If the answer is not there, it says so honestly and passes the question on.

In practice an assistant does three things. It answers the question straight away. It asks follow-up questions and captures something, such as an appointment, a quote request or contact details. Start with your inbox, not with a tool

Take last month's emails, chats and phone notes and tally which questions keep coming back. For most businesses it is about twenty, and those twenty make up most of the work. That list decides what you automate, and it doubles as your test set.

Automate customer service in 5 steps

1. Collect your twenty most asked questions

Use the list from your inbox. For each question, note where the answer lives today: on a page of your website, in a manual, in your terms, or only in a colleague's head. That last group is your first homework, because what is written down nowhere, an assistant cannot know either.

2. Prepare your sources

The assistant answers from what you give it: your website, product pages, manuals, FAQ and terms. 3. Set the boundary and the handover

4. Go live and test with real questions

The striking pattern is not the savings but the timing. At these companies 35 to 64% of questions arrived outside office hours. Whether it pays off, you work out with your own numbers: recurring questions per month, times the minutes a staff member spends per question, times the cost of an hour. GDPR and the AI Act: what to watch

  • Sign a data processing agreement with your vendor. Chatwize provides one as standard, with a list of sub-processors.
  • Ask where your data is stored. At Chatwize all storage is inside the EU. Only the wording of the answer is generated by OpenAI, under EU standard contractual clauses.
  • Check that your customer data is not used to train AI models. At Chatwize that is contractually agreed.
  • Tell visitors they are talking to an AI assistant. It is the decent thing to do, and the European AI Act asks for it too.
  • Give the assistant only the sources it needs. What is not in its sources, it cannot leak.

Can you fully automate customer service?
